Wrong T4 after filing: amendment, replacement copy or missing slip?

Identify the kind of T4 correction needed, coordinate the employer’s submission and employee copies, and keep the right version of the confirmation.

Describe the problem before resubmitting

Ask whether a filed slip contains incorrect information, a slip was omitted, or an employee needs another copy of an existing slip. CRA's T4 guide gives separate instructions for amendments, additional slips and replacement copies. A missing employee copy does not necessarily mean CRA needs another original filing.

Where the return was filed electronically, the guide also directs employers not to send a paper copy of the same T4 slips or summary to CRA. Confirm what the payroll provider actually transmitted before treating another submission as the next step.

Prepare the correction handoff

  • Confirm the employer account, employee and reporting year.
  • Find the original submitted information and acknowledgement.
  • Describe the discrepancy with the payroll preparer.
  • Agree on the appropriate reporting action and method.
  • Keep the new acknowledgement and track any employee-copy follow-up.

Use a suitable secure channel for employee records. Calendar notes can identify the follow-up without storing sensitive personal identifiers.

Keep versions distinct

A useful record explains which document was the original, what was changed and which version was provided to the employee. Avoid replacing the entire history with an unlabelled new PDF. Ask the preparer what the employee needs to know about the updated information.

Use the calendar for the follow-up

Keep the T4 preparation task and any correction notes together in Compliance Calendar. The product does not generate amended slips, transmit them to CRA or decide whether a payroll calculation is correct. Confirm any special deadline or requested response date separately rather than assuming the next ordinary T4 deadline resolves the correction.

Common questions

Does an employee asking for another copy require a new original filing?

Not necessarily. Establish whether the reported information is changing or only a replacement copy is needed, then follow the appropriate CRA instructions.

Can Compliance Calendar amend a slip?

No. It records preparation and confirmation references alongside the relevant deadline.
